This Refund & Cancellation Policy governs all purchases and subscriptions made through CloudOffice.co.in (“CloudOffice”, “we”, “our”, or “us”). By purchasing our services, you agree to this policy.


1. Overview

CloudOffice provides digital and cloud-based services, including:

  • Tally on Cloud Hosting

  • Remote Desktop Services (RDS)

As these services require immediate provisioning of dedicated infrastructure and resources, refunds are subject to the conditions outlined below.


2. Free Trial (If Offered)

Where a free trial is offered, customers are encouraged to evaluate the service before making a purchase.

Once a paid subscription is activated, the Refund Policy stated herein shall apply.


3. New Service Refund Guarantee

For first-time customers, CloudOffice offers a 7-Day Money-Back Guarantee on eligible monthly & yearly hosting plans, subject to the following conditions:

Eligible Services

  • Tally on Cloud Plans

  • Remote Desktop Hosting Plans

  • Standard Cloud Server Plans

Refund Conditions

A refund may be approved if:

  • The refund request is submitted within 7 calendar days of service activation.

  • The customer has not violated our Terms of Service or Acceptable Use Policy.

  • The service is technically unable to meet the specifications advertised.

Non-Eligible Services

The following are not covered under the money-back guarantee:

  • Customized Server Configurations

  • Dedicated Physical Servers

  • Managed Migration Services

  • Data Recovery Services

  • Third-Party Software Licenses

  • Domain Registrations

  • SSL Certificates

  • One-Time Setup Charges

  • Professional Services


4. Monthly Subscription Services

Monthly subscriptions are generally non-refundable after service activation, except where covered by the 7-Day Money-Back Guarantee.

Customers may cancel at any time to prevent future billing.

No partial refunds will be issued for unused portions of a billing cycle.


5. Annual Plans

For prepaid plans:

Cancellation Within 7 Days

If cancellation is requested within 7 days of initial activation and the service is eligible under Section 3, a refund may be issued after deducting:

  • Software licensing costs (if applicable)

  • Migration costs

  • Setup charges

  • Resource consumption costs

Cancellation After 7 Days

No refunds shall be issued for Annual Plans after the initial 7-day period.


6. Service Upgrades and Downgrades

Upgrades

When upgrading services:

  • Additional charges become immediately payable.

  • Upgrade fees are non-refundable.

Downgrades

Downgrades take effect from the next billing cycle unless otherwise agreed.

No refunds are provided for unused resources resulting from a downgrade request.


7. Cancellation Process

Customers may request cancellation by:

  • Raising a support ticket

  • Sending an email to info@cloudoffice.co.in

  • Using the customer portal (if available)

Cancellation requests should include:

  • Account Name

  • Registered Email Address

  • Service Details

  • Reason for Cancellation

Cancellation requests are processed during business hours.


8. Non-Payment

Failure to pay invoices by the due date may result in:

  • Service suspension

  • Restricted access

  • Account termination

  • Data deletion after the applicable retention period

CloudOffice is not responsible for any loss resulting from service suspension due to non-payment.


9. Refund Processing

Approved refunds will be processed through the original payment method whenever possible.

Typical refund processing times:

Net Banking 5–10 Business Days
Credit/Debit Card 7–14 Business Days
Bank Transfer 5–10 Business Days

Processing times may vary depending on banks and payment providers.


10. Service Credits

In some cases, CloudOffice may provide service credits instead of monetary refunds.

Service credits:

  • Cannot be exchanged for cash.

  • Cannot be transferred to another account.

  • Must be used within the validity period specified by CloudOffice.


11. Chargebacks and Payment Disputes

Customers are encouraged to contact CloudOffice before initiating a chargeback or payment dispute.

If a chargeback is initiated without prior communication:

  • Services may be suspended immediately.

  • Account access may be restricted.

  • Future orders may be declined.

CloudOffice reserves the right to provide transaction records, invoices, service logs, and communications to financial institutions in response to payment disputes.


12. Termination by CloudOffice

If CloudOffice terminates a service due to:

  • Violation of Terms of Service

  • Abuse of Services

  • Illegal Activities

  • Fraudulent Activity

  • Acceptable Use Policy Violations

the customer shall not be entitled to any refund.


13. Data Retention After Cancellation

Following cancellation:

  • Customers should download and secure their data before the termination date.

  • CloudOffice may retain backups for a limited period for operational and legal purposes.

  • CloudOffice is not obligated to restore or recover data after the retention period expires.

Customers are solely responsible for maintaining independent backups of critical business information.


14. Exceptional Circumstances

CloudOffice may, at its sole discretion, consider refund requests outside this policy in exceptional situations, including:

  • Duplicate payments

  • Billing errors

  • Technical provisioning failures

  • Other special circumstances deemed appropriate by management

Such decisions are made on a case-by-case basis and do not establish a precedent.
